Overview

Capital expenditure requests are a critical part of hotel operations. These requests often require approval from executives or property managers before work can proceed.

In Quore, CapEx requests were typically sent through email notifications that included a link to review and approve the request.

However, when these links were opened on a mobile device, they led to a broken page. There was no dedicated mobile experience for reviewing or approving requests.

This created a major gap in a workflow that was often handled on the go.

Problem

Executives and managers frequently review requests while away from their desks. Many approvals happen directly from a phone after receiving an email notification.

Because the existing experience only supported desktop usage, opening the link on mobile resulted in an unusable page.

Users were forced to either wait until they reached a computer or attempt to navigate the desktop interface on a small screen.

This slowed down decision making and introduced friction in a workflow that required quick turnaround.

Approach

The goal was to create a focused mobile experience designed specifically for reviewing and approving CapEx requests.

The flow needed to support a common real-world scenario:

  1. A manager receives an email notification.

  2. They open the link on their phone.

  3. They authenticate if needed.

  4. They review the request.

  5. They approve or reject it immediately.

The design focused on reducing friction and ensuring that users could complete the entire process quickly from a mobile device.

Solution

A responsive mobile web experience was created to support CapEx approvals directly from email links.

When a user opens the link:

  • The system prompts authentication if the user is not already signed in.

  • After login, the user is redirected back to the specific request.

  • The request is presented in a mobile-optimized layout with clear hierarchy.

Key information such as request details, supporting documentation, and cost information are organized for quick review.

Primary actions including approve, reject, or request changes are clearly presented so decisions can be made quickly.

Outcomes and Impact

The new experience removed a major point of friction in the approval workflow.

Managers could now review and approve requests directly from their phones without switching devices or navigating complex interfaces.

Key improvements included:

  • Functional mobile access to CapEx approvals

  • Faster decision making for time-sensitive requests

  • Reduced friction for executives and property managers

  • A more reliable workflow for capital expenditure management

The mobile approval flow ensured that important operational decisions could happen anywhere.

Reflection

Many operational workflows break down when they move from desktop to mobile. What works in an office environment often fails in real-world usage.

This project highlighted the importance of designing for real user behavior rather than idealized workflows.

By focusing on the most common approval scenario, the experience became simpler, faster, and more aligned with how managers actually work.
